Setup Guide for Office 365 License Provisioning

This guide explains how to assign and manage Office 365 licenses for users or groups directly from the miniOrange dashboard. It covers how to enable license management, map the required usageLocation attribute, and sync users and groups with Microsoft 365. Once synced, you can easily assign, update, or remove licenses for users and groups.

Follow the step-by-step guide given below to setup Office 365 License Provisioning

1. Configure Office 365 License Provisioning

• Navigate to Apps >> Add Application and configure the Office 365 Provisioning app. Refer This Guide
• If the app is already configured and you only want to manage Office 365 licenses, you don’t need to configure it again.
• Go to the Apps page, and you can see the option Manage License in the Action menu of the Office 365 app you just added.



• At first, Manage License option will be disabled. Follow the steps to enable it .
• Click on the Edit button in the Action menu .
• Navigate to the Attributes section.
• To manage Office 365 licenses of a user, it is essential to map the Office 365 usageLocation attribute to a corresponding miniOrange attribute in the Attributes section.



• If no miniOrange attribute is available to map with usageLocation, create a custom attribute called "Location” by navigating to Users > User Profile Fields > Add Custom Profile Field.



• Be sure to set its default value to the appropriate two-letter ISO 3166 country code for your country.
• For example: US for United States, GB for United Kingdom, DE for Germany, IN for India, or AU for Australia.
• Provisioning the user with a usage location ensures that license assignments function correctly and are applied as expected in Office 365 for that users.

Note:

Only users who have a usage location set in Microsoft 365 can be assigned an Office 365 license.If you attempt to assign a license to a user without a usage location, you will see an error like: “License assignment cannot be done for user with invalid usage location.” This can be viewed in Reports > Provisioning Reports.






• Click on Save and Next button. You will get to the Provisioning tab.

• Now, go to the Licenses navigation tab.



• Check the option Enable License Provisioning and click on the Save and Next button.
• On the Import tab, first import the users and groups if they haven’t already been imported. Once the import is successful, click on the Sync License Assignments button to apply the Office 365 licenses.



• This will sync the existing license assignments of the users and groups on Microsoft 365 and will enable the option Manage License for the Office 365 app.
• Go to the Apps page. Click the Actions button for the Office 365 app, and then select the Manage License option.



• You will see the list of currently subscribed Office 365 Licenses. Click on any license .




Note:

For miniorange IDP on-premise setup, to view the license names and service names properly on the Office 365 Licenses page, the data of product names and service plan identifiers of Office 365 licenses should be populated into the office365_products_services table in your database.
Please download the SQL script according to the DB you are using for the miniOrange IDP on-premise setup, and run the queries/script in your DB.

• You will see the list of users/groups for which that particular license is already assigned.
• For users/groups that were not imported successfully from Microsoft 365, their count is displayed under Anonymous Assignments.

2. Assign and Unassign License

• Click the Assign License button. You will see the list of services included in the license, where you can search and select users to whom you want to assign the license.



• You can assign a license to a maximum of 20 users at a time.
• There are few services like Exchange Foundation in some licenses which can not be unassigned.



• License will be assigned successfully.



• If the assigned user does not appear in the list, there might have been an error in assigning the license on Microsoft 365. You can check for the error in Reports >> Provisioning Reports.
• Similarly, you can assign licenses to group(s) in the Groups section.
• After successful assignment of the Group you will need to sync users license assignments in the Users section. You can do so by clicking on Sync button on the Users section.



• You can also unassign the license of users/groups. Select the users/groups for which you want to unassign the license and click on the Unassign button.



• When you unassign a license of a user which is associated to a group, you wil get failure which you can check in the Reports >> Provisioning Report page. This will be optimized in later versions of miniOrange IAM .
• To update services for a user or group, click the Action button for the user/group and select Manage License.
• Check or uncheck the desired services and click the Save Changes button.



• The changes will be applied to the user only if it is not associated to the group which already has that license. Otherwise, you can update the services through groups.
• For any anomaly in the data shown, you can check the Reports > Provisioning Reports to confirm if the last transaction was successful or not.

Note:

If you see any differences in the license assignments on Microsoft 365 and on miniOrange, that is not resolved by clicking on the Sync button in Users/Groups section, you can follow the step of Sync License Assignments. This will sync all the license assignments from Microsoft 365 afresh.







View Provisioning Reports

How to access Provisioning Reports?

• Navigate to Reports in the left-hand navigation pane, search for Provisioning, and select Provisioning Report.



• Filter the reports by specifying Enduser Identifier and Application Name criteria. Additionally, choose the desired timespan for the reports. Once done, click on the Search.



• Alternatively, you can directly click on Search to retrieve all provisioning reports based on time without applying any specific filters.
